Setting Up Your Account for Lab Orders and Payment Processing

Before you or your team can fully use the Lab Orders feature in Veriport—including placing orders, selecting collection sites, reviewing pricing, and collecting payments—you need to complete a few setup steps. This article walks you through the required account configuration, including enabling the feature, adding your preferred payment method, and verifying key settings.

Why Setup Is Required

Lab Orders integrates electronic test ordering with real-time payment collection for both lab fees and collection fees at competitive rates. To ensure secure, compliant, and seamless operation, Veriport requires:

  • Activation of the Lab Orders feature for your TPA organization
  • A saved payment method (such as your preferred credit card) to handle automatic fee collection
  • Verification of billing and contact information

Most of these steps are handled by Veriport support or your account administrator during initial rollout, but you will need to add and verify your payment method yourself.

Step-by-Step Setup Process

  1. Contact Veriport Support for Feature Activation
    If Lab Orders is not yet visible in your dashboard (see the previous article "Accessing the Lab Orders Feature"), email or submit a support ticket to Veriport. Provide:
    • Your organization name and Veriport account name
    • Confirmation that you want to enable Lab Orders
    Support will enable the feature for your account (usually within 1–2 business days) and confirm when it's ready.
  2. Add Your Preferred Payment Method
    To enable automatic payment collection for lab fees and collection fees at the time of order placement:
    • Log in to Veriport and navigate to SettingsManage Payment Methods.
    • Click Add Payment Method or Add Credit Card.
    • Enter your preferred credit card details securely (card number, expiration date, CVV, and billing address).
    • Save the card. Veriport uses PCI-compliant encryption and may perform a small authorization hold (which is released) to verify the card.
    • Set this card as your default/preferred payment method if you add multiple options.
    Once saved and verified, this payment method will be automatically charged for each lab order you place. You can update or add new methods at any time in the same section.
  3. Verify Email Settings for Automatic Invoicing
  4. After an order is placed and payment is processed, Veriport automatically generates and emails an invoice to the designated recipient(s). Confirm:
    • Your default invoicing email address in SettingsNotifications & Emails
    • Client-specific billing email addresses (if different from the primary contact)
    • That your email domain allows emails from Veriport (check spam filters or add no-reply@veriport.com to safe senders)
    You can test this later by placing a sample order (if your account allows test mode).
  5. Review Compliance and Permissions
    Ensure:
    • Your user role has "Place Lab Orders" and "Process Payments" permissions which is limited to Admin users
    • Any team members who will place orders have appropriate access
    • Regulated testing (DOT, etc.) settings align with your client requirements
    Adjust permissions inSettingsUsers & Roles.

What Happens After Setup Is Complete?

Once activated and configured:

  • Lab Orders will appear in your navigation/dashboard
  • You can search collection sites, view real-time pricing, and collect payments securely using your saved card
  • Invoices are generated and emailed automatically after each order
  • Order history, payment receipts, and invoice records are stored in Veriport for easy reference and audit

Troubleshooting Common Setup Issues

  • Card addition fails or shows errors: Verify card details are correct, ensure sufficient funds/credit limit, or try a different card. Contact support if issues persist.
  • Invoices not sending: Verify email settings and check your spam/junk folder for test messages from Veriport.
  • Feature still not visible after activation: Log out/in, clear browser cache, or ask support to confirm activation on your specific account.
